VarsityVision Athlete Network (“VVAN”, “we”, “us”, or “our”) helps high school student-athletes voluntarily present recruiting information to authorized college recruiters. This policy explains what VVAN collects, why it is collected, who can access it, and the choices available to athletes and families.

1. Information We Collect

VVAN collects only information used to create, review, maintain, or evaluate an athlete recruiting profile. Depending on what the athlete or family chooses to provide, this may include name, school, city/state, graduation year, sport, position/event, height, weight, optional GPA, an optional About Me statement, highlight-video links, and athlete/family or coach contact information used for account, verification, or recruiting purposes.

VVAN does not request Social Security numbers, student identification numbers, financial-account information, medical records, dates of birth, or home street addresses for athlete profiles.

2. Voluntary Submission and Minors

Profile information is submitted voluntarily by an athlete, parent/guardian, or another person assisting the athlete with permission. A person submitting an athlete profile must confirm that the athlete is at least 13 years old. If the athlete is under 18, a parent or legal guardian should be involved and permission must be obtained before submission.

3. Who Can See Athlete Information

New and updated profiles are placed in review status before recruiter visibility. Approved athlete profile information is provided through VVAN’s recruiter area to authenticated recruiters whose access is active. VVAN does not provide a public unauthenticated directory of approved athlete profiles.

Administrative and verification information is not intended for public display. VVAN limits recruiter-facing data to information relevant to recruiting. Athlete/family contact information used for verification is not included in the standard recruiter search results unless VVAN later provides a specific consent-based contact feature.

4. How We Use Information

VVAN does not sell athlete profile information to unrelated third parties for marketing lists.

5. Security

VVAN uses access controls designed to separate administrative functions, athlete profile management, and authenticated recruiter access. Sensitive server credentials are kept on the server rather than placed in public website code. VVAN also limits the categories of personal information it asks athletes to provide. No online service can guarantee absolute security.

6. Data Minimization and Retention

VVAN seeks to keep only information reasonably needed to operate the recruiting profile service. Profiles may be updated, archived, or removed when they are outdated, no longer needed for recruiting, or when an athlete or parent/guardian requests removal. VVAN will periodically review graduated and inactive profiles rather than treating the service as a permanent student-record archive.

8. Schools and Education Records

VVAN does not ask schools to transfer student databases or education records to VVAN as part of the normal athlete signup process. Schools that choose to share the VVAN opportunity with students remain responsible for their own student-record and directory-information policies.

9. Analytics and Third-Party Links

VVAN may use basic website analytics to understand site usage. Athlete profiles may link to third-party video services such as YouTube or Hudl; those services operate under their own privacy practices.

VVAN may update this policy as the platform changes. Material changes will be reflected by the “Last updated” date on this page.
